Why This Role Is Important to Us

This pivotal role serves as the primary business partner to the Nursery Managers, offering expert support in all areas related to fees, debtors, and grant funding. Its significance lies in ensuring the precise billing of families and delivering exceptional service through the timely provision of information and resolution of queries.

Key Responsibilities and Accountabilities:

  • Ensuring the accuracy of data in our billing system, particularly establishing LA Grant Parameters, applying Student Finance and Tax-Free Childcare receipts, validating 15-30 hour codes, and keeping the Connect system up to date in real time.
  • Reconciling grant claims made to the LAs against system data.
  • Problem-solving unallocated cash in the system.
  • Checking the monthly bill proposal and resolving unbilled sessions prior to issue to ensure accurate billing.
  • Assisting nurseries in debt collection when required, including escalating to the debt collection specialists in the team where necessary.
  • Addressing queries from nursery managers and bill payers in a timely manner, including emails and phone calls, to prevent unpaid bills.
  • Raising credits where applicable and seeking appropriate approval.
  • Ensuring fee and deposit refunds are accurate and authorised promptly.
  • Maintaining accurate records of deposits received.
  • Building relationships with key stakeholders and providing excellent service to our nurseries.
  • Partnering with managers from 10-15 nurseries and acting as the expert in all areas regarding billing and grant funding.
  • Supporting the integration of acquisitions into the nursery management system and ensuring a smooth onboarding process for incoming Nursery Managers.
  • Supporting the fee collection team with relevant information about specific accounts.
  • Assisting in the training and development of the team and nursery staff by sharing knowledge and best practices gained through the role.
  • Processing direct debits.


How You’ll Succeed

Success in this role means delivering accurate fee notes for parents and accurate grant claims, ensuring no underfunding due to missed or incorrect applications. You will resolve disputes swiftly, maintain clear and transparent communication, and build an excellent reputation with positive feedback from business partners.

What It Takes

To excel in this role, you will need a minimum of two years’ experience working in a financial support team for a multi-site company, and knowledge of LA Early Years Funding and the early years education sector. Strong interpersonal and team management skills are essential, along with excellent analytical, time management, and problem-solving abilities.
