Fantastic opportunity to join our finance team for a 12 month fixed term, as a Nursery Support Officer, with a starting salary from £25,000 per annum.

Work from our Denton, Manchester, support centre or our Northampton offices.

Why This Role Matters

As our Nursery Support Officer, you will be a key figure in supporting Nursery Managers by providing expert guidance on fees, debtors, and grant funding. Your role is crucial in ensuring parents receive accurate billing and that outstanding customer service is delivered through timely information and query resolution.

Your Impact & Contribution

You will partner with managers across 10-15 nurseries, acting as the go-to expert for billing and grant funding. Your responsibilities include managing queries regarding the Nursery Management System, working with both managers and parents to resolve issues efficiently and professionally, and ensuring that all billing is accurate and up to date.

Key Responsibilities

  • Ensure the accuracy of data within our billing system, specifically around LA Grant Parameters, Student Finance, Tax-Free Childcare receipts, and 30-hour codes.
  • Reconcile grant claims submitted to Local Authorities against system data.
  • Problem-solve unallocated cash in the system.
  • Review and resolve unbilled sessions before monthly billing to ensure accuracy.
  • Support nurseries in debt collection and, when necessary, involve debt collection specialists.
  • Respond to billing queries from nursery managers and bill payers promptly to prevent unpaid invoices.
  • Process fee and deposit refunds accurately and in a timely manner.
  • Maintain accurate records of deposits received.
  • Build strong relationships with key stakeholders, offering excellent service to nurseries.
  • Support the integration of acquisitions into the Nursery Management System, ensuring smooth onboarding for new Nursery Managers.
  • Collaborate with the fee collection team to provide relevant account information.
  • Train and develop nursery staff and the internal team by sharing knowledge and best practices.
  • Process Direct Debits.

Success in this role means ensuring that parents receive accurate and timely fee notes, and that all grant claims are submitted correctly without missing funding opportunities. You will resolve disputes swiftly, ensuring clear and transparent communication with all stakeholders. Through your expertise and proactive approach, you will build strong relationships with business partners, garnering positive feedback and maintaining an excellent reputation across the nurseries.

What You’ll Bring

  • Minimum of 2 years’ experience working in a financial support role, preferably within a multi-site organisation.
  • Knowledge of Local Authority Early Years Funding and the early years education sector.
  • Strong interpersonal skills and the ability to build effective working relationships.
  • Exceptional attention to detail, problem-solving, and analytical skills.
  • Proficiency in Microsoft Office, particularly Excel.
  • A proactive mindset, driven by deadlines and time management.
  • Strong communication skills, with the ability to engage with all levels of the organisation.
