Why This Role Is Important to Us:

The Resource Planning Coordinator plays a vital role in our Operations Team, ensuring that our nurseries are always well-staffed and that our operational systems are up-to-date. You will be responsible for updating our Operational Software with staff changes, validating emergency staffing requests, and coordinating with staffing agencies to ensure our nurseries have the support they need.

What You’ll Be Doing:

  • Ensure that all changes to staff contracts, such as new starters, leavers, and contract amendments, are accurately and promptly updated in our Operational Software.
  • Monitor and report on the efficient use of staffing across our nurseries, helping to optimize our resources and reduce payroll costs.
  • Manage relationships with staffing agencies, ensuring that emergency staffing requests are fulfilled promptly and at the best possible rates.
  • Work closely with the payroll team to ensure the accuracy of hours worked, sickness reporting, and the correct use of temporary staff.
  • Identify opportunities to share staff resources between nearby nurseries to maximize efficiency.
  • Perform regular data cleanses to ensure accurate reporting and compliance with wage regulations, including necessary changes in line with minimum wage laws.
  • Carefully validate all emergency staffing requests to ensure all internal options have been explored before resorting to agency staff.
  • Maintain clear and consistent communication with nurseries and Area Managers regarding the approval and booking of emergency staffing.

How You’ll Succeed:

Success in this role will be defined by your ability to keep our Operational Software updated accurately and in a timely manner, ensuring that all staff changes are correctly reflected. You will demonstrate a strong focus on staffing efficiency, leading to significant cost savings across our nurseries. Clear and transparent communication will be essential as you coordinate with nurseries, Area Managers, and staffing agencies, ensuring that all staffing needs are met quickly and effectively. By building and maintaining strong relationships with staffing agencies, you will ensure that emergency staffing requests are handled with the highest level of service, helping to keep our nurseries well-staffed and our operations running smoothly.

What It Takes:

  • A keen eye for detail and a commitment to accuracy in all aspects of your work.
  • Strong computer skills, particularly with Microsoft Office.
  • 2-3 years of experience in a clerical, secretarial, or office role.
  • The ability to analyze data, manage time effectively, and solve problems proactively.
  • C Excellent communication skills, both written and verbal, with the ability to liaise effectively at all levels.
